Creating Email Aliases

You need to send an email out to all the members of the finance committee.  There are ten people on the committee.  You sent one last month, now what did you do with that piece of paper you wrote all their email addresses down on?  Oh great...  Looks like you need to look all thier email addresses up again.  There's got to be an easier way to do this...

There is...create an alias.  An alias looks just like an email, except it automatically forwards whatever email is sent to it, to one or many other email addresses.  For example, you can create an alias called "finance" for the domain name "church.com".  This alias automatically forwards whatever is sent to it to the 10 members of the finance committee.  So, sending one email to finance@church.com, will actually be received by the 10 members at their personal emails. 

There are a few reasons why aliases can be helpful:

  • Like the example above, aliases can be used to send email to people's personal email, although it appears you are sending email to an address of the church or organization's domain name. 
  • If you have used all your email accounts with WebMedley, but need one or many more email addresses for your domain - aliases are unlimited.
  • To send out emails to a large group of people.  Example: Have one alias forward mail to 14 email addresses and 1 other alias, which forwards mail to 14 more email addresses and 1 other alias etc.  This is a "poor man's" way to create the effect of an email list to send out bulk emails. 

How to create an Email Alias:

Step 1: log into your email account using your administrator's login info.

Log into your admin email account via the internet.  This can be done by going to mail.church.com (where church.com is your domain name). 

Your administrative account login information will be exactly the same as your admin user's login information that you received when you first signed up for WebMedley, unless of course you have changed this username and password.  If you have changed your admin username and password in WebMedley, and need to login to your email, please contact a member of the WebMedley support staff.

Once logged in, you can check any email messages that have been sent to this account, since it actually is an email account.  However your admin email account is intended to be used for administrative purposes and is mainly used to add, delete and manage current email accounts or aliases.

Step 2: Manage your aliases.

Once logged in, you can manage your users or aliases by selecting the appropriate selection in the pull-down box in the upper-right hand corner of your screen.  To create an alias, click on "alias administration".

Step 3: Add the Alias ID.

From this screen, you should click on the "add" button if you would like to add an alias, or "modify" if you would like to add or subtract email addresses from an existing alias.  Each button will take you to a similar screen.  If you clicked on "modify", then you can add or subtract email addresses from the large white box containing all the addresses. 

If you clicked on the "add" button, then enter name for the alias in the "alias id" box.  If the alias you send is finance@church.com, then the alias id will be "finance". 

Step 4: Enter the destination email addresses.

Finally, enter in the email addresses that the alias will forward to.  you can add 1 or several email addresses in this field (one per line).  Now whenever you send an email to finance@church.com, that message will automatically get forwarded to every email address in the destination box.
